1. Information We Collect

We collect only the information needed to provide and improve InsurScribe. This includes:

• Account information: Your email address when you sign up for an account.
• Payment information: Billing is processed securely by Stripe. We never see, receive, or store your credit card number, CVV, or full card details — that data goes directly to Stripe and is governed by their privacy practices.
• Letter content: The claim details, descriptions, and other information you enter when generating supplement letters. This content is transmitted to our AI provider to generate your letter and may be stored on our servers as part of your letter history.
• Usage data: Technical information such as your IP address, browser type, operating system, pages visited, and the dates/times of your interactions. This helps us operate and improve the service.

We do not collect sensitive personal information such as Social Security numbers, government ID numbers, or health information.

2. How We Use Your Information

We use the information we collect for the following purposes:

• Provide the service: To create and manage your account, generate supplement letters, process payments, and deliver the features you've subscribed to.
• Transactional emails: To send you account-related communications such as signup confirmations, billing receipts, trial expiration notices, and password resets. These are not marketing emails — they are required to operate your account.
• Improve AI quality: Aggregated and anonymized usage patterns may be used to evaluate and improve the quality of letter generation over time. We do not use your specific letter content to train third-party AI models without your consent.
• Security and compliance: To detect fraud, enforce our Terms of Service, and comply with applicable laws.

We do not sell your personal information to third parties. We do not use your data for advertising or behavioral tracking.

3. Third-Party Services

InsurScribe relies on the following trusted third-party providers to operate. Each has its own privacy policy governing its use of data:

• Stripe — Payment processing. Stripe handles all credit card transactions on our behalf. Your card data is never transmitted to or stored on InsurScribe servers.

• Resend — Transactional email delivery. Resend is used to send account and billing emails. Your email address is shared with Resend solely for this purpose.

• Anthropic — AI letter generation. The claim details you enter are sent to Anthropic's API to generate supplement letters. Anthropic processes this data under their privacy policy and API usage terms.

We select providers that maintain strong security and privacy standards. We do not authorize these providers to use your data for their own marketing or unrelated purposes.

4. Data Retention

We retain your information for as long as it is needed to provide the service and meet our legal obligations:

• Account data (name, email, billing records) is retained while your subscription is active and for 90 days after cancellation. After that period, your account data is permanently deleted from our systems.
• Letter history (the supplement letters you generate and the inputs used to create them) is stored on our servers and accessible in your account dashboard. This data is also deleted 90 days after account cancellation.
• Usage and log data may be retained for up to 12 months for security monitoring and debugging purposes, after which it is deleted or anonymized.

If you request deletion of your account before the 90-day window, we will process that request promptly (see Your Rights below).

5. Your Rights

You have the following rights with respect to your personal information:

• Access: You may request a copy of the personal information we hold about you.
• Correction: You may update your account information (such as your email address) at any time from your account settings.
• Deletion: You may request that we delete your account and associated data. We will process deletion requests within 30 days. Note that some data may be retained for legal or financial compliance purposes (e.g., billing records required by law).
• Opt out of non-essential communications: Transactional emails (billing, account notices) are required to operate your account and cannot be opted out of while your account is active. If we ever send optional marketing communications, you will always have the option to unsubscribe.
• Data portability: Upon request, we can provide your letter history in a machine-readable format.

6. Cookies

InsurScribe uses a minimal cookie approach:

• Session cookie: When you log in, we set a single session cookie to keep you authenticated. This cookie is essential for the service to function and is deleted when you log out or close your browser session.
• No tracking cookies: We do not use advertising cookies, third-party analytics cookies, or any cookies designed to track your behavior across websites.

Because we only use an essential session cookie, no cookie consent banner is displayed. If this changes, we will update this policy and notify you.

7. Children's Privacy

InsurScribe is a professional SaaS tool intended for use by business owners, shop managers, and contractors. The service is not directed at or intended for individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If we become aware that we have inadvertently collected information from a minor, we will delete it promptly. 8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will:

• Update the "Effective Date" at the top of this page.
• Send an email notification to active subscribers.

Your continued use of InsurScribe after the effective date of any updated policy constitutes your acceptance of the changes. We encourage you to review this page periodically.
